Overview
Admins have control of which users can access the AI Assistant, how many requests they can make each month and adjust the output of the AI Assistant, such as the tone, usage restrictions and rules by updating the system prompt that is included in all the requests. To access the AI Assistant it will need to be enabled in your tenant with the appropriate permissions & Azure deployment process followed. To be able to see this button, users need to be a member of the Azure Entra ID m365 Security Group Atlas AI - Users. See our article here on Atlas AI Permissions.
Once a user has access, they will be able to see and click on a new icon in the top-right of the Atlas header - though please note that your organisation may change the icon.
Chat with the AI Assistant
When a user first opens the AI Assistant, they have to 'Accept' your Terms and Conditions of use. Once a user has accepted this, the chat UI will appear, with chat being the default option, accessed using the "Messaging" icon in the bottom left of the panel.
The chat functionality of the AI Assistant allows users to have a conversational experience with selected organizational data to ensure accurate answers, so users can use the AI Assistant to interact with your organizational knowledge stored within the Intelligent Knowledge Studio, and accessed via any Knowledge Collections your user has been invited to access. A user will be able to seamlessly switch between different collections to access tailored information relevant to their needs.
AI Assistant chat can help users better understand the knowledge of your organization, summarizing, simplifying the language, translating, and more.
Please remember that AI responses should be reviewed before being assumed to be correct!
Create Content
You can use the AI Assistant to create an initial draft of content based on simple instructions. To create content, select the "Document Editing" icon in the bottom left of the panel.
AI Assistant has the context of your actual page that you are editing to adjust the draft to the information type and subjects of the page and has access to the company data to introduce relevant facts. Adjust these settings if required with a few clicks and regenerate to discover other possibilities.
Once generated, insert the content into the page with only one click, or copy it to your clipboard to continue working in another app.
Interact with Knowledge Collections with Enhanced Chat Experience
- The AI Assistant now offers a dynamic Knowledge Collections chat experience, allowing users to interact with specific Knowledge Collections seamlessly. Switch between different collections to access tailored information relevant to your needs.
- In-line references for transparency - responses from the AI Assistant include in-line references, enabling you to verify source information instantly. Access the exact document or page used to generate the answer without leaving the chat interface.
- PowerPoint, Word, Excel, PDFs, Notepad Files in SharePoint document libraries are all supported, as well as information contained within SharePoint Lists, enabling the user to efficiently search for and retrieve information from these file formats, broadening the scope of accessible knowledge

What the Atlas AI can and cannot do
It is important to understand the scope of the AI Assistant in Atlas and what it can and cannot do for users. The AI Assistant can find company information which, in simple terms, is brought into the AI indexing, but it can also use native LLM functions to, summarize, translate, improve grammar and vocabulary, classify and other 'standard' use cases users have come to expect from AI thanks to Generative AI with GPT-4.
Please be aware that AI responses cannot be assumed to be completely accurate and you should check the information presented and verify against the provided sources before relying on that information being factually correct.
The main use of Atlas AI is to:
- Keep AI data and models within your tenant for security and privacy
- Ability to interact with your curated Intelligent Knowledge Collections (IKS), which are specific areas or topics you can point the AI too.
However, the AI can...
- Find information from knowledge collections the user has access to
- Give you a summary about a topic or subject, either generically or utilizing information and data from a specific knowledge collection
- Compare between two topics of information, either generically or utilizing information and data from a specific knowledge collection
- Create content from multiple topics in your knowledge collections
- Re-organise information provided or from a knowledge collection into tables or different formats
The AI cannot...
- Give you a summary of “this page” as it doesn’t know which page you are in, and the current page may not be part of the scope of knowledge for the AI. Instead you should ask for a summary of a topic, and if the current page is relevant then you would expect it to be used in the response.
- Provide correct answers when the prompt is “Hello” or “Hi, How are you?” - you do not need to greet the AI before submitting your prompt!
- Know what todays date is yet. We advise to provide todays date (in any format) should your question or information require it
- Produce images or photographs
- Provide information it does not have access to or has not been given.
