Individual folders against the default document library can be created directly from the ConneX card where specific metadata defaults for the folder can be applied that will auto-tag any content added into them.
This is an extremely useful way to ensure automated tagging which will help your information governance and governance of content - leading to better user experience, better search results, and more dynamic content in the platform. It also saves users having to tag content themselves, which they may or may not do.
Following these instructions you will be able to create as complex a folder structure as needed, with different tags per folder. This is a useful scenario for manual migrations too when first uploading content into Atlas or for provisioning templated workspaces with a consistent folder structure.
Instructions
From ConneX, select the workspace you would like to create folders in, click on the vertical ellipsis (3 dots) and click on Add folder. This will display for users with member or owner permissions to that workspace.
Once 'Add Folder' is clicked a pop-up window on the right-hand side appear displaying the full tree of existing folders from the document library.
Note: If there are no folders then only the root folder or library will display (depending on if you are adding to a Microsoft Teams supported workspace or not).
You can select any parent folder. In the example below the General folder is used, and we have called the folder 'Barcelona Policies' from the Folder Name field
Fields for the default metadata columns against the folder will then be shown. In the example below, some tags are being inherited from the workspace or previous folder. We would advise to leave any 'defaulted' tags as they are to ensure the content once uploaded is still tagged against the workspace.
For this 'Barcelona Policies' folder, I will select new tag Location = Barcelona and Information Type = Policy
Now it looks like this and we can safely assume any content being uploaded into this folder will receive all 4 tags.
Once you are satisfied with your tagging selection, scroll down and click on Add Folder:
The folder is then created:
and when a piece of content has been uploaded to the folder, the 'folder tags' are applied.
