In order to save documents directly into an Atlas workspace, first you should ensure you are logged into your Microsoft Office applications using the same Microsoft 365 account you use for Atlas. You may need to speak to your IT department to get this set up but usually it is just a matter of logging in, or clicking "log in" and allowing your device to sign you in automatically.
Once you are logged in, you can see SharePoint sites (including Atlas workspaces and Microsoft Teams) in the Office Save menus and save directly into these areas. In Office, click File in the top left to get started.
If the file is currently located on your local device, you will see the Save and Save As options. If the file is currently located in a SharePoint site you will see the Save a Copy option. Click the appropriate option and you will see the following:
If you have already opened documents from SharePoint sites you may find them in the Recent section, but otherwise you can click Sites - [Organisation] to see a list of sites you have access to. If you are saving a copy from an existing SharePoint site you may need to click the "up" arrow a few times to get up to the full list:
This is split into two sections: Frequent and Following. You will see sites listed and you can click a site to choose where to save your file:
If you are saving to an Atlas site or a Microsoft Team, you should next choose the Documents folder and then the folder for the Teams Channel where you want to save the file. You should always see at least the General channel, but if you have multiple channels make sure you save your file in the most appropriate channel:
Once you click into the channel you will see subfolders if any exist, or otherwise the files already in that area. Once you've found the right place to save your file, ensure you have the filename filled in, then click Save:
If you're saving to a Microsoft Team you may be done, but if you're saving to an Atlas workspace there is a bit more work to do to ensure the file is tagged appropriately. After clicking Save you will be presented with a panel asking you to choose the Content Type for the file. You should choose File Item (which should be the default selected option) then click OK to continue:
You will now be shown an "error" message, but actually it is more of warning, simply telling us we need to tag the file. Click the error link "To save to the server..." to go to the Info panel:
PLEASE NOTE: At the time of writing (April 20th 2022) there is a Microsoft bug which causes the metadata panel on the right hand side to show all fields as BLANK even when defaults are configured, such as in the image below:
Therefore you should not use this panel at all! Instead, always click the link in the yellow warning bar to go to the Info panel described below where the fields will be populated with their default values correctly.
This will open the Info panel, and on the right you will see the Document Properties. You will notice that the Atlas Global metadata is already populated with the default values for the workspace you're saving into, but you will need to ensure the Title and Document Type (highlighted in red) are populated:
Please note that you could populate this metadata before saving to avoid the error and save immediately.
Once all the required metadata is populated, click the Back arrow in the top left, then click Retry Save on the yellow bar across the top of the document. Your document is now saved in the chosen Atlas workspace or Microsoft Team.
