This article explains in the ins and outs of Ideation Workspaces, available in Atlas as of version 4.1. Please note that:
- Ideation needs to be enabled by ClearPeople for your tenant as we manage this as a paid feature with additional commercials attached.
- The Ideation template is only available for workspaces connected to a Team!

Creating an Ideation Workspace
To create Ideation workspaces you need the necessary permissions for ConneX. The process is similar to the creation of other workspaces but there are some additional variables to set.
Go to ConneX and use the "New Workspace" button to start the workspace creation process:
You'll have "Ideas" as one of the workspace types available to you:
You'll only have 1 template available to choose in the Ideas section at the moment. This might change in the future if we decide to create multiple Ideation templates.
If you check the "Details" of the Ideas Workspace you'll be presented with these details:
After selecting the Ideas template you need to set the Title and Name of the workspace, and add a Description to be shown on the ConneX card if you wish. When you're done click "Next":
Next up is the "Tagging Controls" setting. In most of the cases you'll leave this to "No". If you want to restrict metadata values to a single value you can set this to "Yes" but this is usually only required for external access scenarios:
Now it's up to you to set your default metadata. As for any other templates, the values you choose here will be set as default metadata to all content of your workspace. Note: there are scenarios where you can change defaults, for example on Shared Channels. When you've set your defaults click "Next"
Now we go to "Workspace Security". Choose if you want to create a Public or Private workspace. After that you can add Owners, Members and/or Visitors if you want.
It is not mandatory to set any permissions at this stage as the creator will automatically be an Owner and may want to create content before adding other users. You can update permissions at any point by editing the workspace via the ConneX card.
To add users to the permissions, simply start typing their username and pick the correct user from the suggestions. Click "Next" when you've set what you need:
In "Workspace connections" you can first choose if you allow users to create content via Add It. After that, we have a couple of Ideation-specific options:
-
Select a vote closing date for the workspace
If you want to you can decide to set a closing date and time for any votes to be added into your workspace. After that date voting will be disabled. -
Current status of your idea campaign
Here you can set the value you want any idea to have as start status when submitting a new idea. This can be anything depending on your preference. Some examples can be: "Open", "Closed", "Under Review", "New submission".
When all values have been set as required click "View summary" to see all the decisions you made. and confirm you are happy with your choices.
When you're happy click the "Create workspace" button and your workspace will begin provisoning:
You'll get a message confirming your workspace is correctly submitted:
ConneX will show your workspace as "provisioning" and you now have time for a coffee break until the workspace is up and running. It will usually take around 15-30 minutes. You can monitor this from ConneX by refreshing the cards.
Once your workspace is up and running you will see the Provisioning message is no longer shown on the ConneX card. Now you can begin your ideation journey and start collecting ideas.
