In version 4.2 we have enhanced some ConneX capabilities. These new features are:
- Pinned Workspaces with compact cards
- This Workspace display
- Folder Creation
- Atlasification of existing sites
Pinned Workspaces with compact cards
Atlas 4.2 gives you the opportunity to pin specific workspaces which are then displayed above the workspace list. The maximum number of pinned workspaces that will display is 24, The setting will need to be switched on the setting. To do this, edit the ConneX webpart by clicking on the pencil icon and under Display mode select on for show pinned workspaces:
To pin your workspace, select it, click on the vertical ellipsis (3 dots) and select Pin:
The card will then show as pinned in the top list.
The pinned workspace displays without the description or date making the card size smaller.
If you wish to remove the workspace from the pinned area, click on pinned card, click on the vertical ellipsis (3 dots) and select Unpin
The search function (filters and search box) searches all workspaces including pinned.
If you would only like to see only your pinned workspaces you can chose to "hide" the others. To do this, edit the ConneX webpart by clicking on the pencil icon and under Display mode select on for hide all workspaces by default:
You will still be able to access the other workspaces by clicking on the Show all workspaces button:
"This Workspace" display mode
This display mode gives you a pre-configured workspace experience on your page. The setting used is 100% dynamic and does not depend on any static filters. To add the webpart, search for this workspace and select:
It can also be selected from the ConneX webpart. To do this, edit the ConneX webpart by clicking on the pencil icon and under Layout options choose "This Workspace":
The card can be displayed as a card, a compact card or a row:
Folder Creation
Individual folders can now be created within the document library directly from the ConneX card where specific metadata defaults for the folder can be applied that will autotag any content added into them
In ConneX, select your workspace, click on the vertical ellipsis (3 dots) and click on Add folder:
This will display for users with member or owner permissions. Once add folder is clicked, the full tree of existing folders in that library will display:
Note: If there are no folders then the root folder will display.
You can select any parent folder , in the example below General is used:
Click on Add Folder:
Folder is created:
Atlasification of existing sites
To atlasify is the conversion on an existing Microsoft 365 workload into an Atlas workspace. Meaning that Atlas content types, page templates and header/footer will be automatically applied to the selected site where Atlas metadata can be added along with the option to also add metadata to documents within the default document library.
For SharePoint Communication sites and bulk conversions a script can be run to perform the same update.
To Atlasify workspaces you will need to have the setting enabled, to do this, please raise a support ticket with your CSA.
Owners of workspaces and users who are in the Atlas Enterprise Administrator AD group will be able to atlasify.
In ConneX, access your Microsoft 365 workspace and select the card you wish to convert to Atlas, click on the vertical ellipsis (3 dots) and select Atlasify:
Note: The Atlasify option will not display for existing Atlas workspaces as there is nothing to update.
Once clicked, you will be taken to a form to select the template compatible with the workload:
Work through the form, adding metadata if required. The form asks if you would like to atlasify documents:
If yes is selected then the content type of every document within the library will be changed (for example document type is the SharePoint default, Atlas will change this to File item). In the process of changing the content type the default values of Atlas taxonomy will be also be applied. NOTE: If a document is open or checked out then atlasification could be unsuccessful.
